Headquartered in New Orleans, Louisiana, International-Matex Tank Terminals (IMTT) is an industry leader in the handling and storage of bulk liquid products through its ownership and operation of 19 terminals throughout North America. The terminals handle petroleum, biofuels, commodity/specialty chemicals, and vegetable/tropical oil products for customers including refiners, commodities traders and chemical manufacturers and distributers.
This position is located in Joliet, IL.
1.0 OVERALL RESPONSIBILITIES
1.1 Maintaining and reconciliation of inventory including all receipts, shipments, and month end reconciliation. Must be present each month end for reconciliation process. The position requires multi-tasking and assisting in key responsibilities with a smaller staff, while maintaining direct supervision of four customer service representatives, the role involves numerous reports, daily interaction with customers, assisting with order/truck processing when short-handed. This position assists with fleet management (plates/registration), ordering placards & supplies, managing the mail, being available for and performing month end reconciliation of inventory for all customers, assisting in guest accommodations, etc.
1.2 Implementation & maintenance of administrative processes to ensure compliance with System of Management Controls, audit requirements and IMTT/ Customers administrative policies/practices.
1.3 Planning and hands on coordination/supervision of day-to-day administrative functions.
1.4 Coordination with other managers to ensure terminal runs safely, reliably and responsibly at all times.
1.5 Approval of invoices, petty cash reconciliation and local management liaison with corporate on such matters
1.6 Liaison to procurement for contracting activities and EAM purchasing for all departments as needed.
1.7 Human resource contact for IMTT-Illinois Joliet personnel.
1.8 D&A administrator for terminal program.
1.9 Tracking of key terminal performance indices.
1.10 Become familiar with DTN and driver loading software, operation, and population process
2.0 BASIC DUTIES
2.1 Participate on employee teams (EH&S / ISO9001 team, Safety/ SLT Committee, etc.).
2.2 Serve as a steward for EH&S / ISO9001 / SLT projects as needed.
2.3 SAP / BLIS team member and contact for plant.
2.4 Do special projects, research and investigations especially for customers.
2.5 Write procedures, letters and other documentation.
2.6 Participate in audits, assessments, and quality audits.
2.7 Participate in management stewardship reviews.
2.8 Speak at safety meetings on assigned topics.
3.0 LINES OF COMMUNICATION
3.1 The Administrative Manager directly reports to the IMTT-ILLINOIS Joliet Terminal Manager.
4.1 The educational requirement for the Administrative Manager position is a High School Diploma.

A. Safety training as required by the H&S Manager.
B. Applicable training as determined by senior level IMTT personnel.
